Job Description

Responsible for handling front office reception duties, including greeting guests and offering them a beverage, answering phones, handling company inquiries, and sorting and distributing mail. 

Primary responsibilities

  • Answer phones and operate a switchboard.
  • Route calls to specific people.
  • Answer inquiries about company.
  • Greet visitors warmly and make sure they are comfortable.
  • Call persons waiting for visitor and book them a room to meet in.
  • Schedule meetings and conference rooms.
  • Make coffee and set out food.
  • Ensure reception area is tidy.
  • Coordinate office activities.
  • Hand out employee applications.
  • Arrange appointments.
  • Send email and faxes.
  • Collect and distribute parcels and other mail.
  • Perform basic, filing, and clerical duties.
  • Take and relay messages.
  • Update appointment calendars.
  • Schedule follow-up appointments.
Required Qualifications

 

Requirements

 

Degree

 

High school diploma is the minimum requirement; education up to and including a bachelor's degree may be preferred.

 

Degree Field

 

Certificate in administrative/clerical studies or bachelor's degree in communications or business may be helpful

 

Experience

 

1 years of experience with specific tasks, such as customer support, data entry or managing multi-line phone systems;

 

Key Skills

 

Customer service, oral and written communication, listening, managing files.

 

Computer Skills

 

Microsoft Office, excel, power point.

 

Technical Skills

 

Fax machines, calculators, photocopiers, postage machines, multi-line phone systems.

 

Languages

 

Excellent English & Greek is a must, other languages would be advantage .
